Campus toolkit

Templates, calendars, scripts — ready to use

Everything a campus social media owner needs to actually run the page: an annual content calendar, a weekly planner, the approval checklist, caption starters, escalation scripts, shot lists and the monthly report. Download the CSVs, copy the scripts, print the checklist.

01 · Plan the year

Annual content calendar (July → June)

The Indian school year, month by month, with the anchor events and the content pillars that should dominate each month. Use it as the backbone of your yearly plan — a campus owner should never start a month wondering "what do we post?".

Download the annual calendar (CSV)

Opens in Excel, Google Sheets or Numbers. Add your campus-specific events in the extra columns.

02 · Plan the week

Weekly content planner

The Mon-plan / Tue-Thu-shoot / Fri-approve / Sat-Sun-schedule rhythm made concrete. One row per planned post, one file per week, saved to the campus Drive.

Download the weekly planner (CSV)

Pre-formatted with every column an approver needs before a post ships.

03 · Approve before you post

Pre-publish approval checklist

The single campus approver runs down this list before anything ships. If any box can't be ticked, the post doesn't go live.

Brand

  • Uses approved logo file (PNG/SVG from Logo Library) — not recreated
  • Page name reads 'Seth M.R. Jaipuria School, [Campus]' — no abbreviations
  • No political content, no competitor mentions
  • Any ranking claim carries source + year in the same frame
  • Scale claims match locked copy (60+ schools · 50+ cities · 55,000+ students)

Child safety

  • No combination of name + face + class in the same post
  • No roll numbers, phone numbers, or home addresses visible
  • Parental consent on file for any featured student
  • Results shown only in the Group-approved format

Design

  • Template layout, grid, logo position untouched
  • Only Figtree (digital) or Montserrat (print) fonts used
  • Gold used as fill only — no Saffron Gold text on light backgrounds
  • Image is sharp, on-brand, and not a stock photo

Content

  • Drawn from one of the six content pillars
  • Vertical format (9:16 Reels/Stories, 4:5 feed) — not letterboxed
  • Captions burned into any video
  • Caption: hook · context · soft CTA · 3-5 relevant hashtags

Sign-off

  • Single campus approver has reviewed
  • Scheduled in Meta Business Suite (not posted live)
  • Source file saved to /Campus/YYYY/MM/ in Google Drive
  • Filename follows YYYY-MM-DD_campus_topic.ext

05 · When it gets sensitive

Escalation & response scripts

Always escalate before responding

Media enquiries, legal threats, child-safety concerns, and virally negative posts go to Group Marketing before a public reply. These scripts are your holding lines while escalation runs in parallel.

Post going viral in a negative direction

Immediate actions:
1. Do not delete the post or the comments.
2. Take screenshots of the top 20 comments and the post insights.
3. Message Group Marketing on the escalation WhatsApp group with: link, screenshots, your read of the sentiment.
4. Hold all further posts on the page until Group Marketing signs off.
5. Do not respond publicly until an approved statement is issued.

06 · Capture with intent

Photo & video shot lists

06.5 · Reach for a stock shot

Generic photo library — Group Google Photos album

A Group-curated album of generic, campus-agnostic shots — students, classrooms, infrastructure, sports, activities. Any Jaipuria campus can use these when you need a filler frame, a supporting image for a carousel, or a placeholder while your own shoot is still pending. Not a substitute for real photography of your campus, students and events — use these to fill gaps, not to tell your campus story.

Full album on Google Photos
Open in a new tab, pick the frames you need, download in original resolution.Open album

Preview — a few frames from the album

Before you post a generic shot
  • Never claim a generic frame is from your campus in the caption.
  • Prefer it for background / supporting slides — the hero frame should be yours.
  • Do not crop out or overlay any watermark, if present.
  • If your campus has none of your own usable footage for a topic, that is the real problem — raise a shoot request, don't paper over it with stock.

07 · Report what matters

Monthly reporting template

Every campus shares the same three numbers with Group Marketing every month — reach, admissions enquiries generated, and best-performing post. Same three numbers, every month, every campus. That is how the network becomes visible.

Download the monthly report (CSV)

Fill in the numbers by the 5th of the following month. Email to Group Marketing.

08 · Never lose a file

Asset naming & archive rules

A boring convention that saves hours in month six. Every asset published from a campus lives in the shared Google Drive with the same file name structure.

  • Format: YYYY-MM-DD_campus_topic.ext
  • Example (image): 2026-08-15_bhiwadi_independence-day.jpg
  • Example (video): 2026-11-14_gomti_childrens-day-reel.mp4
  • Campus code: lowercase, no spaces (use hyphens: gomti-nagar not 'Gomti Nagar')
  • Topic: lowercase, hyphen-separated, no special characters
  • Store at: /Jaipuria/[Campus]/[YYYY]/[MM]/
  • Original + edited versions both saved. Never overwrite the source.
Missing a template?

If your campus needs a template that isn't here — a new event type, a different report cut, an announcement format — it's a request to Group Marketing, not a licence to design one yourself. Keeps 60+ campuses in one voice.
